Dear Vendors/Exhibitors/Concessionaires,
Thank you for your interest in having a commercial vendor, exhibitor, or concession booth at the 2025 Grays Harbor County Fair. We’ve been working hard on this summer’s Fair and are very excited to announce all the fun details, soon. Due to continued challenges in the carnival industry, we’ll be staying with a four-day event again in 2025. The set dates are July 30th through August 2nd. So, please mark your calendars. We hope you’ll be able to join us as we celebrate our community and enjoy all the fun of the largest special event in our area. We’re again very excited about the fair that we have planned. There will once again be non-stop, high-quality entertainment, carnival rides, classic fair food, animals, exhibits and all the other fun attractions that the Grays Harbor County Fair is known for. We’ve booked high level, headlining concert acts that are sure to provide top quality entertainment, on our Pepsi Stage. We’re hoping to be able to announce them by the end of March. We’re also in the process of making some, surfacing improvements to our Outdoor Commercial Vendor area, which will be a great addition to our facilities. New for 2025:
We are implementing a new settlement process for food vendors this year. We will still be collecting daily sales reports and “Z” tapes. Then, prior to the end of the fair, we will have you select a time slot to do your final settlement and pay your balance owed. Also new this year, we will offer Sunday morning settlement appointments from 9:00am to 12:00pm. Unless special arrangements have been approved in writing by Fair Management, if you do not pay your settlement percentage by 1:00pm on Sunday, August 3rd, a $500 fee will be added to your invoice. We are hopeful that this will expedite the settlement process at the end of the fair and eliminate vendors having to wait in line to make payment.
Items to Note:
As stated above, we will be staying with a four-day fair, for this year, that will run Wednesday, Thursday, Friday, and Saturday. Please see the full daily schedule below.
Commercial Vendor and Exhibitors may set up Monday, July 28th and Tuesday, July 29th from 8:30am to 8:00pm. Post-event breakdown and haul out will be allowed to begin twenty-five (25) minutes after closing on Saturday night, or Sunday morning. Food vendors will “settle” at the office during their scheduled appointment time on Saturday night, beginning at 11:10pm or Sunday from 9:00am – 12:00pm.
Selection Process:
All applications go through a selection process. Applicants are not decided on a first come, first served basis. However, returning vendors are given special consideration. Applications are reviewed and selections are offered based on the following criteria:
*Product balance within Fairgrounds
*Uniqueness and appeal of product
*Attractiveness of display
Location is determined by Fair Management. Large exhibits and activities may be designated to specific areas as determined by the Fair Management. The Grays Harbor County Fair does not offer exclusivity of product to any vendor.
Exhibitor Camping:
Weekly camping permits will be available for the 2025 Grays Harbor County Fair. All camping vehicles and tents must have the special Grays Harbor Fairgrounds Camping Permit displayed at all times during the County Fair. All camping units are expected to pay the camping fee. Camping is available in the campground located on the east end of the fairgrounds near the horse barns. If space allows and you desire to camp with your booth, permission must also be approved in advance, by the Fair Management, and any applicable fees must be paid in advance.
